About this Position

In this position you will have the ability to multi-task and interact well with stakeholders at all levels while remaining positive, flexible, proactive, resourceful, and efficient with a high level of professionalism. This is an in-office role, the position will interact daily with internal stakeholders, executives, and administrative, and external contractors concerning matters of facilities, safety and security-related requests. You will support a variety of facilities functions and duties.
You will deliver skill and commitment and apply proficiency in time management and effectiveness in prioritizing multiple tasks that help to provide excellent service.

What you´ll do

  • You ensure and handle services, coordinate external service providers in the area of responsibility
  • Responsible for deployment planning of the service coordinators
  • Perform quality control service management (cleaning, pest control and gardening)
  • Advise customers on all service issues
  • Communicate frequently with external (e.g. IFM Service Provider, Landlord, Property Management Company etc.) and internal stakeholders to support daily operation: Facility, Security, SHE, Health and Sustainability
  • Prioritize work orders, handle urgent requests, respond and complete any assigned facility support, clean-up, maintenance, moving, events, set-up, and repair work

  • Enter purchase requests and receive, tracking invoices

  • Handle arising emergency situations

  • Manage supply inventory and ordering ( i.e., office supply, vending machine, hygiene products etc. )

  • Follow protocol for effective office-specific maintenance and safety procedures

  • Manage overall facility operations, including conducting supplier performance assessments and continuous monitoring of office/facility operations

  • Provide administrative and Business support to the Infrastructure Manager

  • Responsible for the facility's day-to-day operations such as creating and distributing building access cards for new employees, replacement cards, and badge troubleshooting

  • Coordinating and setting up for special events and campaign in the office

  • Manage CAFM, access control, locker and key management system

  • B category driving licence
